Interest Group Rules and Procedures

Annual Registration

Interest Groups may apply for status as an Interest Group on a rolling basis throughout the year. Funding for new interest groups will be approved on September 1 of each year. Any groups approved after this date are not guaranteed funding for that year. Please contact COM-StuCo@ouhsc.edu with questions about funding after September 1 of each academic year.

Starting a New Interest Group

A starting point for thinking about an IG is to make sure it fits the OU COM StuCo Constitutional Requirements:

Constitution Article IV Section 4

  • Have on file with the Office of Student Affairs a constitution outlining its mission.
  • Have a faculty sponsor within the College of Medicine.
  • Have at least 10 members who are students in the College of Medicine.
  • Each organization must re-apply to be a group each academic year in order to prevent inactive groups.
  • Interest Groups may apply for accreditation on a rolling basis throughout the year. Funding for new interest groups will be approved on September 1 of each year. Any groups approved after this date are not guaranteed funding for that year.
  • The executive council will have the option to assess potential spring semester funding dependent upon review of fall budget roll over.

Below is a general outline for how to start an IG:

  1. E-mail StuCo Executive Committee (COM-StuCo@ouhsc.edu) to voice your interest and get the process started.
  2. Create a Constitution (email COM-StuCo@ouhsc.edu for a constiution sample and template). You may want to look at the constitution for a few other IGs to get ideas.
  3. Obtain a signature list of students interested in establishing a group.
  4. Find a faculty advisor willing to sponsor the group.
  5. Establish an Executive Board (President, Vice President, Secretary, and Treasurer are required).
  6. Turn in all forms to StuCo before a StuCo Executive Committee meeting so to review before the next StuCo General Body meeting.
  7. Present your Interest Group at a StuCo General Body meeting to be voted on by the student body for IG status.
  8. If you are approved, you must complete a funding form (non-residency IGs can get an allotment from StuCo up to $200 and Residency IGs up to $300). The form must still be filled out, so we know your plans for the year and how you wish to spend the money.
  9. You may also apply for SGA funding once you are established as an IG. They can provide funding to groups across all of campus.
  10. All groups are required to turn in forms before the beginning of each year to be considered an IG. The earlier all the documents are completed, advisors and exec are established, the easier for your group to successfully complete all requirements for the year.
  11. Once your group is created, you are obligated to complete all requirements for that semester. Each new group is put on a probationary period of one year and they must complete all requirements to become an established IG.

IG Officers and Elections

Each Interest Group is responsible for coordinating elections for their respective officers. All new officers must be elected prior to the September 1 registration deadline and will be submitted with annual registration.

Purchasing and Reimbursement Process

Interests Groups are allotted a set amount of funding each fall and spring semester. Funding is approved for each IG after the annual registration deadline of September 1 at the first general body meeting. Funding may be used to purchase food and supplies for meetings and workshops or other expenses approved by StuCo that are in compliance with University purchasing policies.

Interest Groups must submit an Interest Group Funding Request Form prior to making a purchase.

Student Leader Resources

A number of resources are available to student leaders from the Office of Student Affairs and HSC Student Affairs.
